Importing MARC Records of Books in Your Library

You can import a MARC record file that was exported from your library system software into Accelerated Reader. Accelerated Reader uses this information to note which books are available in your school library. Note that Accelerated Reader uses ISBN numbers only to match the books in your MARC record file to quizzes in Accelerated Reader.

When students log in to Accelerated Reader, and select a book, or when they find a book in search results, Accelerated Reader uses the icon to show them which books are in your library based on the imported MARC records. This can be helpful to students who want to find a book to read at school.

Your MARC record file must be a full US MARC record file. To find out how to export a US MARC record file from your library system software, please consult the software’s documentation or contact Technical Support for the company that created the software.

When you import a MARC record file, any MARC records that you previously imported into Accelerated Reader will be removed, and only the new records that you import will be used.

To import a MARC record file, follow the steps below.

Who can do this with standard user permissions?

District Level Administrators, School Level Administrators

District level administrators can import MARC records for any school. School level administrators can import MARC records for their school(s).

  1. On the Home page, select Manage Content.
  2. Select Import MARC Record.
  3. At the top of the Import MARC Record page, you will see the selected school. If you want to import MARC records for a different school, select the link.
  4. In the window that opens, select the school. Then, select Apply.

  5. There are two ways to upload the MARC record file:
    • You can drag the file from the folder on your computer into the dashed box in the Upload File area.
    • You can select click to browse your computer and select the file.

    After you upload the file, you can select Cancel if you need to cancel the upload of the file and upload a different one. You can upload one file at a time.

  6. Select Import.
  7. A message will tell you that the file is being imported and that you can continue working until the process is done. Select OK in the message.
  8. At the bottom of the page, you can see a list of the files that have been imported, including the date, status, number of imported MARC records and file name. The Status column will show you whether the import is still in progress (Scheduled), the import is complete and successful (), or the import had errors or cannot be processed ().

    The status of files will be Scheduled until the MARC records have successfully been updated on your site. Typically, updates are applied overnight. After that, students will begin seeing the (in school library) icon for the imported MARC record books in their book ideas.

    If there were errors, they may have been caused by incorrect values in the file. Check the file and correct the problems if possible. If the error was caused by other problems or you need assistance, contact Technical Support.

  9. To leave the Import MARC Records page, select < Back at the top of the page.
